This role is based in Helsinki, Finland and reports to Ōura’s Chief of Staff.
We are seeking a highly organized and dynamic Executive Assistant for an exciting and multifaceted role supporting our Chief Design Officer, SVP of Software, and SVP of Hardware, all based in Finland – the birthplace of Ōura!
Based in our Helsinki office, with occasional travel to Oulu and the US, you will be an essential member of Ōura’s Administration Team (The A-Team), providing strategic and comprehensive support to key leaders within our Product Leadership team. As a trusted business partner, you will gain a deep understanding of the department's ecosystem to effectively support business priorities, facilitate progress, and strategically execute initiatives.
This crucial role also demands seamless communication with both our US-based teams and your US-based administrative counterparts, requiring excellent communication, strong attention to detail, reliable follow-through, and the ability to manage multiple tasks and confidential information discreetly. You will be a proactive individual who can anticipate needs, work both independently and collaboratively, and exercise sound judgment in a fast-paced environment.
What You'll Do:
- Provide high-level administrative and organizational support to members of the Product Leadership Team.
- Proactively manage complex and dynamic calendars, coordinating meetings and appointments across multiple global time zones.
- Conduct regular calendar audits to optimize time management.
- Prepare meeting materials with meticulous attention to detail, including agendas and pre-reads. Attend meetings, take detailed notes, track action items, and ensure timely follow-ups.
- Manage extensive domestic and international travel arrangements, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
- Handle email correspondence and internal/external requests on behalf of the executives, exercising excellent judgment and professionalism.
- Process expenses accurately and in a timely manner.
- Collaborate cross-functionally with other Executive Assistants and business units to optimize workflows and prioritize business needs.
- Support strategic execution of key initiatives within the Product Leadership Org, including tracking progress and ensuring accountability for Ōura’s roadmap.
- Plan and coordinate team on-sites and large meetings, both domestically and internationally (at times, more than one simultaneously).
- Assist with ad-hoc office projects and other duties as required to support the efficiency and effectiveness of the office and teams.
- Maintain a high level of confidentiality and discretion in handling sensitive information.
- Ensure adherence to company policies, processes, and procedures, and proactively suggest improvements.
- Assist with onboarding and interview scheduling for the Product Leadership team, potentially leveraging any recruiting background.
What You'll Bring:
- 5+ years of experience providing administrative support to senior-level executives; C-suite support experience is a plus.
- Proven ability to work effectively in a fast-paced, dynamic environment and build strong professional working relationships.
- Exceptional organizational and multitasking skills with unwavering attention to detail.
- Strong communication (written and verbal) and interpersonal skills, with the ability to interact confidently and professionally with individuals at all levels.
- Demonstrated ability to be a self-starter, take initiative, anticipate needs, and make sound decisions independently and collaboratively.
- Agile and flexible in response to changing priorities and needs.
- Tech-savvy with strong proficiency in G-Suite (or similar platform), including calendar management, document creation, and presentation software.
- A proactive and solutions-oriented mindset with a "can-do" attitude and a willingness to go beyond the immediate job description.
- Executive presence and confidence to speak up and contribute effectively in leadership meetings.
- Experience with program or project management concepts and the ability to act as a business partner to the leadership team.
- Understanding of departmental ecosystems and the ability to navigate organizational structures to remove roadblocks and connect the right people.
- Ability to prioritize tasks effectively and maintain boundaries to ensure efficient workflow.
- Prior experience supporting executives across US and European time zones and coordinating international travel is highly desirable.
- Ability to travel to off-sites to support teams as needed.
