As we scale up operations at Northvolt Drei, Germany, we are looking for a highly organized and proactive Executive Assistant to support our CEO and the Drei mangement team in driving this ambitious project forward. You will be responsible for his daily administration (calendar, travel, and meeting support), as well as being the hub for internal and external communications.
We’re looking for candidates with previous experience as an Executive Assistant, or, within project management. You have ideally worked at large-scale and/or complex organizations, in an industrial environment. About the Executive Assistant role:
The Executive Assistant at Northvolt Drei is much more than a traditional secretary. With a high level of energy, clear vision, and a passion for organization you make things run smoothly while flexibly pivoting to accommodate last-minute changes. We expect you to work proactively, anticipating the needs of the Executive and organization you work for. Cross-functionally, you’ll be a part of our high-performing organization, working closely to support the Executive Management Team, stakeholders, HR, security and IT, to ensure the smooth synchronization of work streams and support the executive team with administrative tasks.
We believe that you are solution-oriented and service-minded. You should like structure, in particular implementing new structures, and pay great attention to detail without losing the overall picture. A positive attitude, the ability to quickly build and maintain large internal networks, and a true love for working in a fast-moving environment, are key success factors.
The role is based in Heide, but since we have two office locations travels between the sites will occur on a regular basis.
Key responsibilities include but are not limited to:
- Support your Executive and the management team with calendar administration, travel bookings and meeting support
- Work closely with your Executive’s Management Teams to set agendas, prepare presentations, document meeting minutes and follow-up actions & activities
- Contribute to a good team spirit, including organization meetings, customer visits, special events and off-sites, as well as onboarding new colleagues
- Manage both internal and external stakeholders to create efficient collaborations
- Organize internal communication, such as newsletters, and intranet, keeping documents up-to-date & relevant
- Supoort with Adminstrative and Office Managment task
- Developing ways of working and standard operating procedures, for example, securing that the BU follows Northvolt policies and guidelines
- Both develop and maintain business unit governance steering, including business unit risk management, change board, etc.

We believe that you have:
- 2-5 years of experience as Executive Assistant, project manager or Office Manager, in an industrial environment
- An MSc, BSc, or relevant University degree
- Great English and German written and oral skills
- Demonstrated ability to be proactive and take initiative, as well as being agile and flexible
- Great communication skills as you will be in constant interaction with team members and other stakeholders
- Strong organizational skills and ability to manage multiple activities simultaneously and create structure
